WhatsApp Communication Privacy Notice

Two Wings International School uses its WhatsApp Business number, +1 714-222-5985, to communicate with parents and guardians about school administration, support, fees, invoices, receipts, and related services.

Information we process

Depending on the communication, we may process a guardian's name and WhatsApp number; the student or customer account linked to that guardian; the date and source of the guardian's consent; invoice references and documents; message content; and delivery, read, and response status information.

How we use the information

We use this information to deliver requested school communications, send fee and invoice information, respond to questions, maintain communication preferences, prevent duplicate or unauthorized messages, and protect our systems. We do not sell personal information.

Consent and choices

Automated WhatsApp messages are sent only to guardians whose WhatsApp opt-in is recorded. Each guardian makes this choice independently. A guardian may withdraw consent at any time by replying STOP or contacting the school. Withdrawal stops future WhatsApp notifications but does not affect records that the school must retain for accounting, safeguarding, or other legitimate obligations.

Service providers

Information is processed through Meta's WhatsApp Business Platform and the school's ERPNext system. Two Wings may also use authorized hosting and technical-support providers, including UNITECHCONSULT, solely to operate and secure these services. These providers may process information in countries other than the guardian's country of residence, subject to appropriate contractual and security safeguards.

Retention and security

Consent records and messaging logs are retained only as long as reasonably necessary for communication, troubleshooting, security, and audit purposes. Financial and student records follow the school's separate retention requirements. Access is restricted to authorized staff and service providers, and credentials and webhook traffic are protected using technical security controls.

Children

This service is intended for communication with parents and guardians, not direct automated messaging to children. Student information is included only when needed to identify the relevant school account or document.

Access, correction, deletion, and questions

Guardians may ask to access or correct their WhatsApp contact information, withdraw consent, or request deletion of messaging data that the school is not required to retain. See our WhatsApp data deletion instructions.
